This policy is written for a U.S. audience but includes provisions to help meet global expectations (e.g., GDPR/UK GDPR and California CPRA) as your business grows. Edit any bracketed items and optional sections to match your exact stack.

1) Scope

This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you:

  • Visit practicalsolutionsai.com (the "Site");
  • Interact with our chatbots, contact forms, or email newsletter; and/or
  • Message us via integrated platforms (e.g., Facebook/Instagram Messenger) or book a call through our scheduling links.

If we build and operate a chatbot for a client, we generally act as that client’s service provider/processor. In those cases, the client’s privacy policy governs end-user data; this policy applies to PSAI’s own marketing Site and channels.

2) Personal Information We Collect

We collect information in three main ways: directly from you, automatically through the Site, and from third parties.

A. Information you provide directly

  • Contact form submissions: name, email, message, and any attachments you choose to upload.
  • Newsletter sign‑ups: email address and subscription preferences.
  • Bookings & consultations: information you submit to schedule or join calls.
  • Chatbot interactions: messages you send to our bots, preferences you set, and any contact details you provide inside the experience.

B. Information we collect automatically

  • Device/usage data: IP address, browser type, pages viewed, referring/exit pages, timestamps, and similar log data.
  • Cookies & similar technologies: small files and scripts that help the Site function, measure performance, remember preferences, and (if enabled) support marketing/retargeting. See Cookies & Tracking below for choices.

C. Information from third parties

  • Messaging & social platforms (e.g., Facebook/Instagram Messenger) when you message us via embedded links.
  • Scheduling/meeting tools (when you book with us) that provide meeting details and contact info you enter there.
  • Analytics/ads partners (if configured) which may provide aggregate insights or campaign attribution.

We do not intentionally collect sensitive personal information via the Site. Please avoid sending sensitive data in free‑text fields.

3) How We Use Personal Information

We process personal information to:

  • Provide and improve the Site, chatbots, and related services;
  • Respond to inquiries, provide quotes, schedule meetings, and deliver requested materials;
  • Operate lead capture, qualification, and follow‑up workflows;
  • Send service messages and, with your consent where required, marketing communications (you can opt out anytime);
  • Analyze Site performance and campaign effectiveness; and
  • Comply with legal obligations and enforce our terms.

Legal bases (EEA/UK visitors): consent, contract performance, legitimate interests (e.g., Site security, service improvement, B2B marketing where permitted), and legal obligations.

4) How We Share Personal Information

We do not sell personal information. We may share it with:

  • Service providers that help us run the Site and our operations (e.g., hosting, form handling, email/CRM, scheduling, analytics, security, chatbot platforms). These providers may access personal information only to perform services for us and under appropriate confidentiality/processing terms.
  • Integrated platforms you choose to use to communicate with us (e.g., Facebook/Instagram Messenger). Your use of those platforms is also governed by their own privacy terms.
  • Legal/Compliance: to comply with law, respond to lawful requests, or protect rights, safety, and security.
  • Business transfers: in connection with a merger, acquisition, or asset sale.

reCAPTCHA: Our forms may be protected by Google reCAPTCHA. Google’s Privacy Policy and Terms of Service apply. This tool helps prevent spam and abuse.

5) Cookies & Tracking

We use:

  • Strictly necessary cookies for core Site functionality and security;
  • Analytics cookies to understand traffic and improve the Site; and
  • Advertising/retargeting cookies only if enabled to measure campaigns and show relevant ads.

Your choices:

  • You can set your browser to block or alert you about cookies. Some features may not work without essential cookies.
  • Where required, we obtain consent for non‑essential cookies. You can withdraw consent at any time (add a cookie banner/preference center link here if available).

6) Data Retention

We retain personal information only as long as necessary for the purposes described above, including to comply with legal, accounting, or reporting obligations. Typical retention ranges:

  • Contact/lead records: 12–24 months after last interaction (or sooner if you ask us to delete).
  • Newsletter subscribers: until you unsubscribe or your address hard‑bounces.
  • Chatbot logs (PSAI‑owned channels): up to 12 months for troubleshooting and optimization unless a longer period is needed for legal reasons.

7) Security

We implement reasonable technical and organizational measures designed to protect personal information. No method of transmission or storage is 100% secure; use discretion when sharing data online.

8) Your Privacy Choices & Rights

Email marketing

You can opt out of marketing emails at any time by using the unsubscribe link in our emails or contacting us.

California (CPRA) & certain U.S. state laws

Depending on your state, you may have the right to know/access, correct, delete, and opt‑out of sale/share of personal information, and to limit use of sensitive personal information. PSAI does not sell personal information and does not share it for cross‑context behavioral advertising. If that changes, we will update this Policy and provide a “Do Not Sell or Share My Personal Information” link.

To exercise your rights, contact us at the email above and describe your request and state of residence. We will verify your request as required by law.

EEA/UK (GDPR/UK GDPR)

You may have the right to access, rectify, erase, restrict or object to processing, and data portability. You may also withdraw consent at any time (without affecting prior processing). You can lodge a complaint with your local data protection authority. If we rely on legitimate interests, you may object where your rights outweigh our interests.

9) International Transfers

If we transfer personal information outside your country (e.g., to the U.S.), we use appropriate safeguards such as Standard Contractual Clauses or rely on another lawful mechanism.

10) Children’s Privacy

Our Site and services are not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us so we can delete it.

11) Third‑Party Links & Features

The Site may link to third‑party sites or include integrations (e.g., Facebook/Instagram Messenger). We are not responsible for those third parties’ privacy practices. Review their policies before providing data.

12) Changes to This Policy

We may update this Policy from time to time. We will post the updated version with a new Effective date and, if changes are material, provide additional notice as appropriate.
